Our privacy policy sets out how we collect and use your/ your Agency /your customer’s personal information. Please read this policy carefully; by using our website you consent to its terms. If we make any changes to our privacy policy we will inform you by posting them on this page. 2. What information do we collect? We ask for information about you/your agency/your customers in five 5) different areas of our website: (1) Logging into our website: we ask for your agency account number, your agency password, your name and your Pointstore ID. We need this information to validate your account details and to allow you access to our website. This information will not be disclosed to any third party (other than as required by law or to fulfil our contract with you). (2) Making an online booking: we ask for your agency account number, your name and your Pointstore ID. We need this information to recognise your booking and award you with the correct number of Pointstore points to your Pointstore account. This information will not be disclosed to any third party (other than as required by law or to fulfil our contract with you). (3) Entering a competition: you will be asked to send us an email containing your contact details (including your name, address, and telephone number) so that we can contact you in the event you win a prize. This information will not be disclosed to any third party (other than as required by law or to fulfil our contract with you). (4) Submitting an Agency Registration Enquiry form online: when you contact us via the Agency Registration Enquiry form you will be asked to provide your agency manager’s name, your agency name, address and telephone number, your agency manager’s email address, correspondence email address and postal address, together with regulatory body information in order to process your application This information is required so that we can validate your agency type and ensure we are trading with you in the correct manner. (5) Customer details: in order to process your customers booking and to meet their requirements, we must pass their personal details on to the relevant suppliers of their travel arrangements. 3. How is your information used? We use your/your agency information to provide the services you require, communicate with you directly and to collect general statistical information about visitors to our website. Furthermore we may disclose your/your agency information to other companies within the Virgin group for business purposes. We would like to hold the information we have collected from you for our own future marketing purposes (for example to inform you of future promotions and competitions). You may opt-out of direct marketing at any time by contacting us via email at vfs.salessupport@fly.virgin.com. You may opt-out of direct marketing by any other Virgin company by contacting them directly. With virginflightstore.com YOU are always in control of your personal information and if at any time you wish us to stop contacting you then simply email us at vfs.salessupport@fly.virgin.com 4. Sensitive Personal Data Your customers may be required to provide Sensitive Personal Data (as defined by the Data Protection Act 1998), for example details of their dietary requirements for the purpose of providing them with a suitable in-flight meal. All Sensitive Personal Data provided to us will be treated in accordance with this privacy policy and will not be disclosed to any third party (except to the extent required by law or for safety reasons or to fulfil the contract between us and satisfy individual requirements). 5. Cookies Cookies are a standard method of registering user preferences when people use websites, to enable a better and more personalised experience. Transfer of data outside the UK We may need to transfer your customer’s information (including Sensitive Personal Data) outside the UK to enable us to comply with your requirements or for safety or legal reasons. For example, we are required by law to give US customs and other border control agencies certain passenger data. You/your customers should understand and accept that data protection requirements in other countries may not be as stringent as in the UK. 8. Security Any personal information collected by us is stored in our secure databases at a secure address to prevent unauthorised access. Our systems are configured with data encryption or scrambling technologies and industry standard firewalls. 9. How long do we keep your data? Your/your agency data is held for the duration of your relationship with Virgin Flightstore. At such time that you terminate your relationship with Virgin Flightstore, your/your agency details can be removed from our records. 10. How to change your personal information Virgin Flightstore is not responsible for the accuracy of any information you submit to us. In the event that you believe the information we hold about you/your agency is incorrect or incomplete or if you need to update or amend any of your/your agency information, please contact us via email at vfs.salessupport@fly.virgin.com You may unsubscribe from our email updates at any time by clicking on the link at the bottom of the email sent to you. 11. Accessing your personal information You have the right to request a copy of the personal information we hold about you (for which we may charge a fee). Any request should be made in writing to the following address: Customer Relations Department, Virgin Flightstore, 97-98 High Street, Gorleston, Great Yarmouth, Norfolk NR31 6RF. You should enclose with your request full details of the information you wish to access, together with a postal order or cheque (made payable to Virgin Flightstore for £10 and a copy of your passport (or other official document, which contains the signature of the person making the request). Requests by email, telephone or fax, or incomplete requests will not be accepted. Please allow forty (40) days for us to respond to your request. 12.
